Terms of service
These terms cover the SysteMate website and the SysteMate application. They are written to be read, not to be survived.
Who we are
SysteMate builds and runs bespoke business systems for small businesses in the United Kingdom. Contact: admin@systemate.uk.
Using the application
Access is provided to the business we have agreed to provide it to, and to the people that business authorises. Accounts are for named individuals — sharing a login means nobody can tell who did what, which defeats the record the system exists to keep.
- Keep your password to yourself and tell us promptly if you think it has been used by somebody else.
- Do not attempt to reach another business's data, probe the service for weaknesses without asking us first, or use it to store anything unlawful.
- Do not put data into the system that you have no right to hold.
Your data stays yours
The records a business puts into its system belong to that business. We hold and process them to provide the service and for nothing else — we do not sell them, mine them, or use one client's data on behalf of another. How they are handled in detail is in the privacy policy.
You can have your data out at any time, in an open format, for as long as you are a client and when you stop being one. That is not a concession and there is no charge for it.
Availability and change
We aim to keep the service running and available, and we will give reasonable notice of planned work. We cannot promise it will never be interrupted — no honest provider can — and occasional outages at our hosting providers are outside our control.
The application changes over time as it is improved. We will not remove something a client relies on without talking to them first.
Connected accounts
Some optional features connect to a third-party account you already have, such as a calendar. Connecting one is your choice, you authorise it yourself, and you can disconnect it at any time from within the application or from that provider's own settings. What we do with the data those connections give us is described in the privacy policy.
Fees, and ending it
Fees, term and notice are set out in each client's signed agreement rather than here, because they are agreed per client. Nothing on this page shortens a notice period or creates a charge that the agreement does not.
Liability
We do not exclude liability for death or personal injury caused by negligence, for fraud, or for anything else that cannot lawfully be excluded. Beyond that, our liability is as set out in the client's signed agreement. The system is a record of a business's work; it is not accounting, legal or tax advice, and it does not replace a business's own obligation to keep proper records.
Law
These terms are governed by the law of England and Wales, and the courts of England and Wales have jurisdiction.
Changes to these terms
If these terms change materially we will tell clients directly rather than relying on them to notice. The date at the top always reflects the current version.
